Standard Fees & Terms for Tenants 

Holding Deposit 

Once you have found your ideal property through us we will ask you to provide a non-refundable holding deposit of One week's rent, which will be included as a part payment toward the security deposit but which not be refunded in the event that you subsequently pull out of the Tenancy before the Tenancy Agreements have been signed. 


As soon as your offer has been accepted by our landlord, we begin the referencing process.You will be asked to complete our Homelet reference form with your personal details and provide a clear photocopy of your passport or EU driving license and a copy of a current utility bill at your present address from all adult tenants in order to comply with current EU money laundering legislation. 

Payment of rent 

The first instalment of rent must be paid in cleared funds when you sign the tenancy agreement. Thereafter, rent is payable by standing order (unless agreed otherwise) to arrive on the due date as stated in the Tenancy Agreement. 

Check-in and check-out 

Windmill Residential will be instructed by the landlord as to what arrangements are to be made for the inventory and check-in. We advise you to make yourself available for the check-in and check-out. 


It is your responsibility to insure your own belongings throughout the tenancy. We will be happy to provide details of an insurer who specialises in tenants’ contents insurance 

Changes To The Tenancy 

In some cases, the Tenants may wish to substitute a new tenant for an existing one, add an additional tenant or reduce the number of tenants on the Tenancy. These changes are subject to approval by the landlord and our administration fees for processing any new Tenants’ references, redrawing the Tenancy Agreement, TDS Prescribed Information and re-registering the deposit in the revised names will be as follows: 
For new tenant(s) added to the Tenancy 
£ 50 per change 
In all cases where the Tenancy documents need to be redrawn and signed 
£ 50 per change 
In some cases, we understand that tenants may need to vacate a property and end a Tenancy earlier than the contracted date. Although no automatic facility exists within the Tenancy Agreement to do this, if your landlord agrees for us to re-market the property, your liability for the payment of rent and bills will end once a new tenant is found and moves in. However, in this situation, you will be charged the reasonable costs for re-imbursing the landlord for loss of rent and re-letting the property. 

Fees To Tenants 

A fee of £50 to make a change to the existing Tenancy Documents (i.e change of Name). 
The reasonable cost for Replacement of Lost Keys/Fobs or Change of locks will be charged to the Tenants. 
If the Tenant requests to end the Tenancy early, The Tenant must pay for reasonable costs to reimburse the Landlord for loss of rent and costs associated with re-letting. 


A deposit equivalent to 5 weeks’ rent must be paid in cleared funds when you sign the Tenancy Agreement and is held by Windmill Residential as Stakeholder for the duration of the tenancy in accordance with the terms of the Tenancy Agreement. Windmill Residential is a licensed member of ‘The Dispute Service’ Tenancy Deposit Scheme and your deposit will be registered at the start of the Tenancy. Your One Week holding deposit will count towards this. 

Renewal of tenancy 

You will be contacted in advance if you wish to extend your tenancy.  

Management of the property 

At the start of the tenancy we will advise you who is responsible for managing the property. This is not always Windmill Residential. Where we are not managing the property we cannot authorise any repairs or maintenance or guarantee the speed at which repairs will be carried out. Where we are managing the property, we will usually have to obtain the landlord's consent before proceeding with a repair. Where we manage a property and hold keys, we can usually provide access to Windmill Residential contractors (with your permission). However, where we do not hold keys or the contractor is not willing to collect keys, it is your responsibility to provide access.
